LEAD & CO-LEAD PASTORS ASSISTANT- FULL TIME EMPLOYMENT
The primary role of the Personal Assistant to the Lead Pastors is to serve Victory Church by providing for a wide range of administrative and personal tasks for the Lead Pastor and the Co-Lead Pastor in an organized and timely manner for ministry effectiveness.
Essential Functions:
Oversee and fulfill the administrative and ministry needs of the Lead Pastors.
Create and manage the Lead Pastors’ calendar appointments, meetings, and phone call appointments, including meetings with congregation, staff, ministry contacts, boards, and ministry teams; keep appropriate parties informed in advance.
Manage the email inbox and answer telephone calls and correspondence to the Lead Pastors’ offices.
Maintain communication sent to Lead Pastors through social media and other messaging apps.
Be present at all meetings requested by Lead Pastors for note taking and for providing for any needs that may arise.
Plan, manage and organize the following for the Lead Pastors and coordinate details with all parties involved: travel arrangements, speaking engagements, miscellaneous community involvement, weddings, funerals, planned meetings, events and conferences.
Plan and manage communication, travel arrangements, and elements of hospitality for church guests and guest speakers.
Run both personal and ministry errands for the Lead Pastors.
Be present on Sundays to help with Lead Pastor and ministry needs as they arise.
Manage the expense reporting for the Lead Pastors, as well as expense reporting for Personal Assistant’s spending, following all accounting procedures for purchase orders and check requests.
Other Duties & Responsibilities:
Be aware of the overall church, ministry goals and programs, and the Lead Pastors’ detailed responsibilities related to these.
Serve as a gatekeeper while ensuring people are served in a friendly and professional manner.
Provide scheduling load that promotes strong family-church relationship, working together with Lead Pastors to ensure an effective, healthy, and sustainable rhythm of life and schedule.
Work with communications director to ensure proper branding in ministry areas
Work with staff pastors, department heads, Elders and Board humbly & honorably as collaboration is required for optimal ministry.
Communicate timely with staff and volunteer teams that serve the Lead Pastors and all other emails and phone inquiries.
Plan and organize family needs as requested by the Lead Pastors.
Actively attend and participate in staff and leadership meetings.
Engage in other activities that give opportunities to be a team player with the rest of the staff.
Any other duties as requested by leadership.
Qualifications/Experience/Knowledge Requirements:
Bachelor's Degree or equivalent experience in an administrative role.
Strong administrative, organizational, and planning skills with the ability to work effectively while being flexible and adaptable in an ever-changing environment.
A good listener and/or the ability to develop keen listening and observational skills
Advanced communication skills (in person, phone and written).
Proficiency in Microsoft Office software
Knowledge of or ability to learn Planning Center Online software and CDM software
Knowledge and experience necessary to proficiently maintain calendars, email, and computer files.
Compatibility with the life and ministry rhythms of the pastor and his family.
Impeccable character, especially in areas of confidentiality, wise judgement, respect, hospitality, and trust.
